How do I transfer mice between two OLAC facilities (e.g. LSA-6 Suite to the NAF)?


Introduction - Why does OLAC need to coordinate most transfers?
Mice must sometimes be moved within rodent facilities, or between OLAC facilities. The animals may stay with the original principal investigator (PI) or may be transferred onto another PI's protocol. OLAC staff must be notified when these transfers occur in order to create new cage cards, avoid inadvertent disease transmission and for regulatory purposes. Note: the following guidelines apply to usual circumstances. OLAC may need to temporarily modify rodent transfer practices under disease outbreaks or other circumstances. Always follow any instructions regarding movement of animals posted on animal room doors. If in doubt please contact your facility manager or an OLAC veterinarian.


Life Sciences Addition Building, 6th Floor (LSA-6) Transfers

1.) How do I transfer mice within the same LSA-6 Suite- (different room, same PI)?
Transfer between rooms in the same LSA-6 Suite can be done by the PI (or lab member) with no paper work.

2.)How do I transfer mice within LSA-6 (from one Suite to another Suite ) same PI?
a) PI (or designated lab member) will complete one pink transfer card for each cage to be transferred and place the card on the appropriate cages to be transferred.
b) The AT from the "sending" room will then transfer the cages according to the date on the pink cards.

3) How do I transfer mice to a different PI (either between LSA-6 Suites or in the same Suite)?
a) The PI (either receiving or providing) will complete one pink transfer card for each cage to be transferred. Place the cards on the appropriate cages to be transferred.
b) The AT from the "sending" room will then transfer the cages according to the date on the pink cards. The "pink card" is sent to the OLAC business office. A stamp is placed by the AT on the cage card of each cage that has been transferred: TRANSFERRED FROM PI____________Room_________Date_____________
c) When the new cage cards are printed (may be after the transfer has taken place), the PI will place them on appropriate cages.


Northwest Animal Facility (NAF) Transfers

1) How do I transfer of mice between rooms in the NAF (e.g. conventional mice into the BL2)
a) PI (or designated lab member) will complete one pink transfer card for each cage to be transferred and place the card on the appropriate cages to be transferred.
b) The AT from the "sending" room will then transfer the cages according to the date on the pink cards.

2) Transfer of mice to a different PI (either between rooms or in the same room)
a) Follow guidelines as above LSA-6 #3 a-c.


How do I transfer mice between two OLAC facilities (e.g. LSA-6 Suite to the NAF)?
a) The investigator must complete and turn in a "transfer request form" to OLAC
b) After receiving confirmation of the transfer request, The PI will complete one green transfer card per cage to be transferred. Place the "requisition #" on the green cards prior to placing the cards on the cages to be moved.
Note: The "requisition #" must be included on the green transfer cards or the cages may not be transferred. This number is included on the "confirmation of transfer request" email the PI receives from OLAC. The number is located in both the subject and body of the email.
